What to put on a landscaping & gardening invoice

  • Number of staff and hours on site — two people for three hours is six labour hours
  • Plants and materials listed with quantities and unit prices
  • Green waste removal and tip fees as a separate line
  • Your waste carrier licence number if you remove waste
  • Stage payments for larger projects, with what each stage covers
  • Any plant establishment guarantee and what voids it

Tax, by country

The rules depend on where the work was done. This is general guidance, not tax advice.

United Kingdom

If you are VAT registered, show your VAT number and the VAT rate (usually 20%). Under the CIS scheme, construction work for a contractor may need a deduction shown separately.

United States

Sales tax on labour varies by state — many states tax materials but not labour. Show your EIN if you have one, and keep the tax line separate from the subtotal.

Canada

Show GST/HST (or QST in Quebec) as its own line with your GST/HST number. The rate depends on the province where the work was done, not where you are based.

Australia

If you are registered for GST, the document must say "Tax Invoice", show your ABN, and state the GST amount (10%). Without an ABN the customer may have to withhold 47%.

How do I invoice for a maintenance round?

Invoice monthly with each visit dated on its own line, or use a recurring invoice. Clients on a round want to confirm you attended as often as they were charged.

Should I charge separately for waste removal?

Yes. Tip fees are a real cost with receipts behind them, and burying them in labour makes your hourly rate look higher than it is.

How do stage payments work on a landscaping project?

Split the quote into stages — say deposit, materials, completion — and invoice each as it is reached, stating what the stage covered. It protects your cash flow on jobs with heavy material costs.
